3 processes for wellness & fitness · 1 complete

Session booking for spas, studios and trainers, where a three-hour package never lands in a one-hour gap.

EzyConn books massages, facials and half-day packages at the length they actually take, moves and cancels them at the moment a client realises they cannot come, and takes membership, billing and group questions to a person — because none of those is a session in the diary.

The limit, up front: Non-clinical by design. Memberships and billing questions go to a person.

The problem

Where a studio’s time actually goes

Four situations that need answering and need no judgement at all. Every one of them is somebody being interrupted, or a customer going somewhere else.

  1. 01

The mistake that costs a spa a whole afternoon

A 180-minute package dropped into a 60-minute gap. Everything after it shuffles, two therapists lose their break, and somebody has to ring a guest to apologise.

  2. 02

Membership questions answered with a booking form

A question about a direct debit is not an appointment, and offering one is how a studio teaches its members to give up and ring instead. Those messages are most of the inbox.

  3. 03

A trainer holding an hour for somebody who does not come

That is the entire margin of the hour. It is only re-sellable if you hear in time, and the person you would hear it from is teaching.

  4. 04

The corporate booking that is not a booking

Twelve people from one office is a plan somebody makes with you, not a slot somebody picks. Treating it as a slot loses it.

Real enquiries

What arrives, and what happens to it.

Two of these are diary work. The rest are deliberately handed to a person, because the platform holds no membership, package or payment record to answer them from.

  • Do you have anything for a 60-minute massage on Sunday?

Real openings offered at your own length, booked

  • Can I book the half-day package?

Only gaps that fit 180 minutes are offered

  • Can I freeze my membership while I'm away for a month?

Named as a membership question, passed to a person

  • I need to cancel my session tomorrow morning.

Session found, confirmed, cancelled, time released

  • Could we book twelve of us in from the office?

Named as a group enquiry, passed to a person

The processes

Three processes, built for wellness & fitness.

Each one is published with its status. Complete means every step runs. Available with a limit means it runs and something named is missing — and the name of the missing thing is on this page and on the process page.

Every industry runs on the same handful of shapes carrying different data, which is why a new trade is a configuration change rather than a rebuild. Browse the whole catalogue.

The outcome

What a finished job looks like.

A session at the length it genuinely takes. The half-day package is only offered where three hours actually exist, which is the whole reason the service list carries your own durations.

WELL-01

Enquiry captured and routed

Nothing is booked, on purpose. A person picks the conversation up already knowing which of these it is, who is asking and how to reach them.

  • My membership
  • A payment or an invoice
  • Booking a group in

It carries the client name, a number the format check accepted, an email, and any preference they typed before arriving. A confirmation email goes out; a cancellation frees the time straight away and sends the client nothing.

What you configure.

Your hours, your clock, your own treatments with their real durations and prices, and a live price-list entry behind each so a booking points at something real.

  • Your opening hours

  • Your timezone

  • Your services, their length and their price

  • Your price list

Without opening hours and a timezone, a booking process offers nothing and hands every customer to a person. That is deliberate — an appointment at a time you are shut is worse than no appointment.

The limits

What EzyConn will not do for wellness & fitness.

The pattern here is simple: EzyConn owns the diary and touches nothing financial. That boundary is absolute, not a setting.

Non-clinical by design. Memberships and billing questions go to a person.

  • It touches no money at all

There is no membership, subscription, credit, package or direct-debit record anywhere in the product, and no payment step in any process. Nothing is frozen, cancelled, refunded, charged or renewed here. The question is taken to somebody who can, with the contact details already gathered.

  • It reads no account

It cannot say whether somebody is in credit, overdue, inside a minimum term, or has four sessions left — there is no account record to read, and it never implies there is.

  • A course is not a series, and a package is not a balance

Somebody who bought ten sessions moves or cancels them one at a time, and nothing credits a session back to a package, because there is no package. One appointment is created per conversation.

  • A group is not a booking

An appointment holds one client at one time. Twelve people from one office would be twelve appointments with nothing linking them, which is why that branch is a handover rather than a booking journey.

  • No named therapist, and no cancellation policy

There is one diary for the business and no per-person calendar, so a client cannot pick their therapist. And there is no notice-period rule and no way to charge a fee — an hour’s notice and a fortnight’s notice are treated identically. A cancellation does raise an event you can pick up in Zapier or your own webhook.

  • The note before a session stays a preference

The optional free-text box is worded to invite a preference, never a condition, because it is stored as plain unencrypted text with no consent record behind it. EzyConn is non-clinical by construction here, and the wording is part of how it stays that way.

  • No calendar sync, of any kind

Not Google Calendar, not Outlook, not Calendly. Availability is worked out only from appointments EzyConn made itself, so a time you blocked out in your own calendar is still offered to a customer.

  • No system connectors

There is no customer-record, scheduling-system, order or field-service connector in the product. Everything that leaves does so through Zapier or a signed webhook to your own endpoint.

  • The confirmation is an email, never a text message

No process sends SMS. The confirmation email is best-effort: if the queue behind it is down, a real appointment can be made without the email arriving. A cancellation sends the customer nothing at all — the chat window is their only confirmation.

  • Nothing is paid for in the conversation

There is no payment step anywhere in a process. No deposit, no card, no voucher, no balance.

  • A service area is a list of postcodes, not a radius

You give a list of postcodes or a prefix to match on, for one country. A radius is refused outright, and so is covering everywhere.

Every limit these three processes publish

Written by the people who built them, carried onto this page unedited, and shown in full on each process page.

  • The team is NAMED, not ASSIGNED.
  • The bot never presents itself as a clinician, never gives clinical advice, and never decides what a person needs.
  • A confirmation EMAIL is sent.
  • No individual member of staff is chosen.
  • No money changes hands inside a process.
  • No therapist is chosen — there is no per-person calendar.
  • The free-text note must stay non-medical.
  • A cancellation sends the customer NOTHING.
  • IDENTIFICATION IS NOT AUTHENTICATION.
  • A cancelled appointment is not RE-booked.
  • A late-cancellation policy is NOT enforced and not mentioned: there is no payment step to charge a fee with and no notice-period rule anywhere in this platform.

Channels

Where your customers already are.

Studios are booked from a phone, usually while the client is doing something else.

  • WhatsApp

Where regulars already message the studio, including the cancellation at six in the morning.

  • Your website

The Sunday-evening booking, made after the studio has closed.

  • Your phone line

Inbound calls answered on your own Twilio number while a session is running.

You connect your own Twilio number. Inbound only — EzyConn does not make outbound calls.

  • Email

Corporate and group enquiries, sorted before anybody opens the inbox.

  • Slack

Where the team picks up whatever was handed over.

EzyConn has no CRM, dealer-management, practice-management, EHR, order-management or field-service connector, and it does not sync with Google Calendar, Outlook or Calendly. Availability is worked out from bookings EzyConn made itself. Everything else leaves through Zapier or a webhook.

Questions

What wellness & fitness businesses ask first.

Can a client choose their therapist?
No. There is one diary for the business and no per-person calendar in the product, so a session names nobody and "with Anna" is never offered.
Can it freeze or cancel a membership?
No. There is no membership, subscription, credit or direct-debit record anywhere in the product and no payment step in any process. The question is named as a membership question and taken to the person who can act on it, with a name, a number and an email already gathered.
Does it know a client has six sessions left on a package?
No. There is no package or credit balance in the product to read, so it never implies one. A ten-session block is ten separate bookings as far as the diary is concerned.
Can it book a group of twelve?
No. An appointment holds one client at one time and one is created per conversation, so a group would be twelve unlinked bookings. That branch is deliberately a handover to a person instead.
Will it offer the right length for a half-day package?
Yes, and that is the main reason to use it. Each treatment carries your own duration, so a 180-minute package is only ever offered where three genuine hours exist on your own clock and opening hours.
Does it enforce a 24-hour cancellation policy?
No. There is no notice-period rule in the product and no payment step to charge a fee with, so an hour’s notice and a fortnight’s are treated the same. A cancellation raises an event that reaches Zapier or your own webhook the moment it happens.
