The situation it is for

Implant, orthodontic and cosmetic enquiries are the highest-value messages a practice receives and the ones most often lost to a slow reply — and they arrive as questions, overwhelmingly about money. This takes the qualifying off the front desk: whoever picks it up already knows which of the four it is and how to reach the person, and the consultation chair is not blocked by somebody who was only asking.

Somebody is thinking about implants, straightening their teeth or cosmetic work, and what they actually send is a question: what does it involve, what does it cost, am I covered, I have been referred. The bot works out which of the four it is, says who deals with it, takes a name, a number and an email, and a colleague picks it up. It does not advise, it does not price and it does not fill in an appointment nobody has agreed to yet.

The limits

This process runs, and it stops short of something its name suggests. Here is exactly what, in full.

  • The bot never presents itself as a clinician, never gives clinical advice, and never decides what a person needs.
  • If a visitor volunteers something clinical mid-flow, the turn is classified as an aside and falls through to the normal assistant.
  • The team is named, not assigned. Either way the conversation goes to whoever picks it up, with the right team written down in front of them.
  • No price is given, and none can be. 'How much is an implant?' is the most common message this entry will receive and the one thing it must not answer; that is why it is a conversation to be picked up rather than an appointment to be filled in.
  • It books nothing, and that is the design rather than a limitation. What could not be expressed as another bookable service was the question itself, which is what this is for.
  • Nothing about suitability is asked or answered. Whether somebody can have an implant, whether aligners will work for them and how long treatment would take are all clinical assessments; this process gets a person to them and offers no view of its own.
  • No plan, insurance or payment arrangement is checked or confirmed.
  • No photograph, treatment plan or estimate can be attached — the process takes words only, and a file sent mid-conversation leaves it waiting on its last question.
  • In the numbers, a successful enquiry is recorded with the same word as a booking that had to be handed to a person — so this process’s success cannot be told from a booking process’s failure in a single figure.

And what is not in the product at all

Not a setting you have missed, and not on a list of things arriving shortly.

  • Nothing works out a price. A figure given in a chat window would be invented, so none is given.
  • A handoff writes down the right team and nothing delivers the conversation to it. It reaches whoever picks it up, with the team named in front of them.
  • Nothing inside a process can take a deposit, a subscription, or a payment of any kind.
