What a Customer Service Rep Costs in 2026

The wage is only the start. Benefits, hiring, training, tools and the hours nobody covers decide what one support rep really costs, and where an AI agent fits beside them.

The short answer

A US customer service representative earned a median $21.53 an hour, or $44,770 a year, in May 2025, according to the Bureau of Labor Statistics. Add benefits, hiring, training, a help desk seat and some management time and one full-time rep costs about $79,000 in the first year and about $71,000 a year after that. That buys 40 hours of a 168-hour week. Covering every hour takes about 4.7 people. Figures checked on 21 October 2026.

Every autumn the same decision lands on the desk of small business owners. The inbox is already full, peak season is weeks away, and the one person who answers customers cannot stretch any further. Hire a second rep, or find another way?

Answering that well starts with knowing what a rep actually costs, which is a good deal more than the salary in the job advert. This guide builds the number line by line from official figures, turns it into a cost per hour of coverage and a cost per conversation, and then runs one made-up company through both choices: a second hire, or an AI agent working beside the rep it already has.

The wage: what support reps earn

The most reliable US figure comes from the BLS Occupational Outlook Handbook for customer service representatives, which draws on the government’s May 2025 wage survey. The median hourly wage was $21.53, which works out to $44,770 a year. The lowest paid tenth earned less than $15.27 an hour; the highest paid tenth more than $30.57. About 2.67 million people did the job in 2025.

Industry matters. The same page lists a median of $23.41 an hour in wholesale trade, $22.47 at insurance carriers and $17.96 in retail. Professional, scientific and technical services sit close to the middle at $21.77. We use the median throughout, so swap in your own local rate where you know it.

Outside the US the floor is set by law rather than surveys. In the UK, the National Living Wage for workers aged 21 and over rose to £12.71 an hour in April 2026 (GOV.UK, checked 21 October 2026), and support roles generally pay above it. If you are weighing an offshore team instead, our guide to customer support outsourcing versus AI covers how agencies price their seats.

From salary to fully loaded cost

An employer pays a good deal more than the wage. The BLS tracks this in its Employer Costs for Employee Compensation survey. Its latest release, published on 9 September 2026 with June 2026 data, puts the average private-sector employee at $46.89 an hour in total compensation, of which wages are 70.0% (BLS, September 2026). For office and administrative support jobs, the group customer service reps belong to, wages are 68.7% and benefits 31.3%: paid leave, health insurance, retirement contributions and legally required costs such as Social Security and unemployment insurance (BLS ECEC Table 4).

Then there are the costs that never appear on a payslip. SHRM’s 2025 benchmarking survey of 2,371 members put the average cost per hire for nonexecutive roles at $5,475, counting advertising, recruiters, interviewing time and the like (SHRM, October 2025). That is an average across all nonexecutive jobs, so a support hire may cost less. Training is mostly time: the BLS says customer service reps usually receive 2 to 4 weeks of on-the-job training. The new hire’s wages during those weeks are already in the salary, so the real extra cost is the person teaching them.

Here is the whole bill for one full-time rep paid the median wage. Where we had to assume something, the assumption is written in the row. We price trainer and management time at the BLS average private-sector hour of $46.89.

Sources checked 21 October 2026: BLS Occupational Outlook Handbook (May 2025 wages); BLS Employer Costs for Employee Compensation, June 2026 data released 9 September 2026; SHRM 2025 benchmarking survey (press release of 15 October 2025); Zendesk pricing page. Training and management hours are our assumptions. Excludes a laptop, headset, phone line and office space.

So a rep on a $44,770 salary costs the business about $79,000 in the first year and about $70,700 a year once hired and trained. If someone leaves after a year, the hiring and training lines come round again.

The help desk seat

The software line is the smallest, but it is the one most often priced per person, so it grows with every hire. Three common help desks, at their entry plans:

FreshdeskGrowth$19 an agent a month, billed annually$228
Help ScoutStandard$25 a user a month, billed annually$300

These prices change often and AI is frequently billed separately, which our guide to what an AI chatbot costs works through vendor by vendor.

Cost per hour of coverage

A full-time rep is paid for 2,080 hours a year, but is not at the desk for all of them. Say they take 26 days off: public holidays, vacation and a few sick days. (As a sense check, paid leave is 7.5% of compensation for office staff in the BLS figures, which is about 29 days of wages.) That leaves 1,872 hours of actual coverage.

Divide the cost by those hours and an hour of a rep answering customers costs $42.20 in the first year and $37.77 after that. That is before breaks, team meetings and the time spent on things other than customers, all of which make each staffed hour cost more.

What evenings, weekends and 24/7 cost

One full-time person covers 40 hours of a 168-hour week: 24% of the week. Customers do not keep to that timetable, and the BLS notes that customer service reps “often need to work during busy times, which may include evenings, weekends, and holidays.”

The coverage maths is simple division. A year has 8,736 hours (168 × 52). Each rep covers 1,872 of them. So one seat staffed around the clock needs 8,736 ÷ 1,872 = 4.67 people. If nobody ever took a day off it would be 168 ÷ 40 = 4.2; add breaks and the overlap at shift changes and most teams land near 5.

What each slice of the week costs at the median wage
Hours coveredHours a weekPeople neededCost a year (after year one)
Weekdays, 9:00 to 17:00401.11$78,560
Weekday evenings 18:00 to 22:00, plus weekends 9:00 to 17:00361.0$70,704
Every hour of every day1684.67$329,952
Our arithmetic: hours a week × 52 ÷ 1,872 available hours per person, × $70,704 per person. Assumes the median US wage and no premium for unsocial hours. Excludes hiring and training for each new person.

The middle row is the one most small businesses should look at. Covering weekday evenings until 22:00 and the weekend days adds 36 hours a week, which is almost exactly one more full-time person. And that still leaves every night empty.

US federal law does not make those hours dearer by itself. The Department of Labor says the Fair Labor Standards Act “does not require extra pay for weekend work”, which is “generally a matter of agreement between the employer and the employee” (US Department of Labor). Overtime above 40 hours a week still applies, and many employers pay a shift premium simply to fill evening and weekend rotas.

Cost per conversation

The other way to look at a rep is by what they handle. Divide the monthly cost ($6,583 in year one, $5,892 after) by the conversations they answer:

People cost per conversation for one rep
Conversations a monthYear oneAfter year one
400$16.46$14.73
800$8.23$7.37
1,200$5.49$4.91
Our arithmetic from the fully loaded cost table. Does not include the AI or the help desk's own usage charges.

The more a rep handles, the cheaper each conversation, but only up to a point. At eight minutes a conversation and six hours a day of actual answering, one person handles about 45 a day, roughly 950 a month. Past that, replies slow down, and the customer pays the cost in waiting.

Where an AI agent fits

Look at a month of any small support inbox and two kinds of conversation stand out. Most are repeat questions with an answer already written somewhere: delivery times, returns, opening hours, prices, how to reset a password. A smaller share needs a person: a refund outside the policy, an order that went wrong twice, a customer who is upset, anything unusual.

An AI agent is good at the first kind and at the hours nobody covers. It answers from your own website and documents, at 23:00 on a Sunday as well as at 10:00 on a Tuesday, and when it does not know it says so and offers a person. Your rep is good at the second kind, and is worth far more spending the day there than retyping the returns policy for the fortieth time.

What joins the two is the hand-over. When a conversation needs a person, the customer should not have to start again: the rep should see everything already said. Our guide to chatbot hand-overs covers what a good one looks like, and can AI replace customer service agents? looks honestly at which conversations still need people.

Worked example: a second hire, or an AI agent beside the rep

Harbour & Pine is a home goods shop we made up for this example. It gets about 1,500 conversations a month on website chat and email. One full-time rep, Dana (also made up), answers them on weekdays; the owner picks up evenings from a phone. Dana is past the 950 a month one person can handle well, and replies are slipping to the next day.

Two assumptions, for the arithmetic only. First, after sorting 50 recent conversations, the owner finds 60% were questions already answered on the website. Second, the AI agent fully answers half of all conversations on its own, 750 a month, which is deliberately below that 60%. Your own numbers will differ.

Option A: hire a second rep

Cost in the first year: about $78,992 from the table above, then $70,704 a year. Two people can split 1,500 conversations comfortably. Staggered shifts (one person 7:00 to 15:00, the other 12:00 to 20:00) stretch staffed hours from 40 to 65 a week. Nights and weekends stay empty, and the repeat questions still take most of both people’s day.

Option B: an AI agent plus Dana

At this volume the plan is decided by its message allowance. EzyConn’s Starter plan includes 5,000 messages a month, about 3 per conversation at 1,500 conversations, so we price the Professional plan, whose 25,000 messages leave room for about 16. A year of it is $1,140. Add Dana’s time: a day to set it up and an hour a week reading what it could not answer, 60 hours at her fully loaded $31.33 an hour, or $1,880. First year: about $3,020.

Dana’s queue falls from 1,500 conversations to about 750, which one person can answer well, and the ones she gets are the ones that need her. Every hand-over arrives with the whole conversation, so she never asks a customer to repeat themselves. Questions at night and on Sundays get an answer from the shop’s own content at the moment they are asked, and the ones that need a person wait for her in the morning.

What the numbers do not settle

On these assumptions option B costs a small fraction of option A and covers more hours. It keeps one person on the team, and some businesses need two: someone to cover Dana’s holidays, or to take the phone. The sensible sequence for many small teams is B first, then measure. If after two or three months the conversations that need a person still exceed what Dana can handle, hire, and the new rep starts in a queue of real work rather than a backlog of repeat questions.

Work out your own number this week

  1. Price one rep in your area. Start from a real local wage, then divide by 0.687 for benefits (the BLS office staff share) and add the hiring, training, seat and management lines from the table above.

  2. Count last month's conversations by hour. Note how many arrived outside the hours someone was at the desk. That share is what your current team cannot answer quickly.

  3. Sort a sample of 50. Mark each one "already answered on our website" or "needed a person". The first share is a fair ceiling for what an AI agent can take on at the start.

  4. Work out your people cost per conversation. Monthly fully loaded cost divided by conversations answered. Compare it with an AI plan's monthly price divided by the conversations it would take.

  5. Test before you decide. Put an AI agent on your website on a free plan, ask it the 20 questions you get most, and read the answers as a customer would.

If peak season is the reason you are asking, our holiday season support plan sets out the weeks before Black Friday step by step.

Customer service rep costs: common questions

How much does it cost to hire a customer service representative?

In the US, about $79,000 for the first year of one full-time rep paid the median wage, once you add benefits, hiring, training, a help desk seat and some management time. That is our arithmetic on BLS and SHRM figures checked on 21 October 2026. From the second year, without the hiring and training costs, it is about $71,000. Lower wages in your area bring both numbers down.

What is the average customer service rep salary in 2026?

The latest official US figure is from May 2025: the Bureau of Labor Statistics puts the median hourly wage for customer service representatives at $21.53, or $44,770 a year. The lowest paid 10% earned less than $15.27 an hour and the highest paid 10% more than $30.57. Wholesale trade paid a median $23.41; retail trade $17.96.

How much do benefits add to a support rep’s salary?

For office and administrative support jobs in US private industry, wages were 68.7% of what employers spent on compensation in June 2026 and benefits the other 31.3%, according to the BLS. Put another way, every $1 of wages came with about 46 cents of paid leave, insurance, retirement and legally required costs such as Social Security.

How many support agents do I need for 24/7 coverage?

At least 4.2, and closer to 5 in practice. A week has 168 hours and a full-time rep works 40, which gives 4.2. Take out holidays, vacation and sick days (26 days a year in our example) and each person covers 1,872 hours of the 8,736 in a year, which needs 4.67 people for one seat. Breaks and handovers push it towards 5.

What does it cost to hire and train a new support rep?

SHRM’s 2025 benchmarking survey put the average cost per hire for nonexecutive roles at $5,475 (published October 2025). Training is mostly time: the BLS says customer service reps usually get 2 to 4 weeks of on-the-job training. We count the trainer’s hours, about $2,800 at an average private-sector hour, rather than the new hire’s wages, which are already in the salary.

Do I have to pay more for evening and weekend shifts?

Not under US federal law. The Department of Labor says the Fair Labor Standards Act does not require extra pay for weekend work; any premium is a matter of agreement between employer and employee. Overtime above 40 hours a week still applies. In practice, many employers pay a little more to fill those shifts, so budget for it.

Is an AI agent cheaper than hiring a support rep?

They do different jobs, so compare them on the job. An AI agent costs a monthly plan and some setup time, and it answers the repeat questions at any hour. A rep costs tens of thousands a year and handles the conversations that need judgement. Most small teams get the best result from both: the AI takes the repeats, the person takes the rest.

Can AI replace customer service representatives?

It can take a large share of the repeat questions, but refunds outside policy, upset customers and anything unusual still need a person. The useful question is how much of your rep’s day is repeat work. Count a sample of last month’s conversations: the share already answered on your website is roughly what an AI agent can take on.
