AI Chatbot for Personal Trainers: Answer Leads While You Coach

You cannot reply to a message with a client in front of you. That is the whole problem. Enquiries land during sessions, and by the time you pick up the phone, the person has already messaged someone else.

The 30-second answer

Personal training enquiries arrive at the worst possible moment. Someone reads your page at lunchtime, or at ten at night after deciding to start again. You are coaching, driving between clients, or asleep. A chatbot trained on your own website answers rates, availability, location and what a first session involves, and it takes a consultation request while your hands are busy. One rule matters more than the rest: it must never answer a question about pain, injury or health. Those go straight to you.

The message always arrives mid-session

Look at when people message a personal trainer: early morning, a lunch break, or the evening once the kids are down. Now look at when you work. The same hours. Your busiest time and your enquiry time are identical, and your phone is in a locker.

This is not a discipline problem. You are the product and the receptionist, and you can only be one at a time. So the message sits unread, and your reply goes out at nine in the evening to someone who has already booked with the trainer whose page loaded next.

A chatbot does not sell for you. It holds the conversation open, answers the dull half of the enquiry, collects what you need and says when a human will reply. The alternative was silence. If you work out of a gym, our guide to chatbots for gyms and fitness studios covers the membership side.

Online coaching
Can you coach me remotely?
Explains what a remote plan includes and how it is priced
Pain or injury
My shoulder hurts, can you help?
Says you will advise personally, then hands over. Nothing else

Five of these six have a fixed answer that already exists in your business. They keep taking your evenings because the answers live in your head rather than on a page a bot can read. The sixth is different, and it deserves its own section.

The line your bot must never cross

People describe their bodies when they enquire. A bad knee, a shoulder that clicks, a pregnancy, a back that went last year, a condition their doctor mentioned. It feels helpful to answer. It is not. A chatbot has no idea what it is looking at, and a confident suggestion sent to a stranger at midnight is a real risk to them and to you.

So block the whole category. Set the bot to respond to any mention of pain, injury, rehabilitation, pregnancy, a medical condition or nutrition with a single line: this is something the trainer will talk through with you personally. Then it takes their name and number and hands the conversation over. No exercise suggestions, no modifications, no stretches, no "that usually means". Clients read that as professional, not evasive.

Blocks, monthly coaching and the price question

Price is the first thing people ask and the thing trainers hide most often. The reasoning is familiar: get them on the phone and the number lands better. That worked when people would phone. Someone comparing three trainers on a Tuesday night just clicks the next result.

Publish the lot. Single sessions, blocks of six or ten, monthly coaching, remote plans and any couples rate. Then let the bot explain the difference. Most people asking "how much" are really asking "what do I get", and explaining what a block covers against what monthly coaching covers does more selling than a number.

Cancellation terms belong on the same page. How much notice you need, what happens to a missed session, whether a block expires. Publishing them stops the awkward conversation later and gives the bot something clear to repeat.

A consultation request you can act on

The goal of the chat is a request complete enough that your reply can be a time rather than five more questions. Decide what you need to say yes: their goal, preferred days, location, training history and a contact number.

Collected in one go, that turns a three-day exchange into a single message from you. The mobile app is on every plan, including the free one, so you can pick up a handed-over conversation between clients without opening a laptop. Our guide to answering live chat from your phone covers how that works in practice.

Setting it up between clients

Publish every rate

The biggest single win

Single sessions, blocks, monthly coaching, remote plans and any couples rate. The bot can only repeat what exists on a page. A published price sheet turns your most common question into an instant answer.

Write down the first session

Better conversion

Most people asking about a trainer have never had one. Describe what happens in the consultation, how long it lasts, what to wear and what you will ask them. Nerves lose you more clients than price does.

Set the health handover rule

Non-negotiable

Block anything touching pain, injury, rehabilitation, pregnancy, medication or nutrition. One sentence, then a handover to you. Read your transcripts monthly and confirm the line is holding.

Define a good lead

Less admin

Decide what you need before you can say yes: goal, preferred days, location, budget range and training history. Have the bot collect all of it so your reply is a time, not a questionnaire.

Two details matter for trainers. The AI answers in more than 50 languages on every plan, and GPT-4o and Claude are on every plan too, so the free tier is the same model with a smaller allowance. Start free and move up only when a limit bites: 500 messages a month on Free, then 200 on Lite, 250 on Starter, 1,000 on Basic, 5,000 on Pro and 10,000 on Business. The pricing page has the rest.

Frequently Asked Questions

I am a one-person business. Does a chatbot really make sense for me?

It makes more sense for you than for a gym with a front desk. A gym has someone paid to watch the inbox. You do not. Your busiest coaching hours are the hours people send messages, so a solo trainer loses a higher share of enquiries to slow replies than any staffed business does.

Can the bot answer questions about an injury, pain or a health condition?

No, and it should be configured so it cannot try. If someone mentions pain, an existing injury, rehabilitation, pregnancy or a medical condition, the correct behaviour is one sentence: the trainer will advise on that personally. Then it takes their contact details and hands the conversation to you. It must never suggest exercises, modifications, stretches or nutrition changes.

Can it book a session straight into my calendar?

That depends on your booking software. What it always does is take a complete request: name, contact, goal, preferred times, location and training history. Many solo trainers start with structured requests landing in one place, which removes most of the back and forth.

What happens if someone asks a price I have not published?

The AI trains by crawling your website, so it repeats what you have written and nothing more. If a rate is not on your site, the bot will not invent one. It says it cannot confirm that and offers to pass the question to you. Publishing your rates is the highest-value hour of setup.

What does this cost for a solo trainer?

The EzyConn free plan is $0 forever with no credit card. It includes two seats, 500 messages a month, one chat widget on one domain, the mobile app and 30 days of history. Paid plans are Starter at $25 a month and Professional at $95 a month, with 20% off on annual billing.

Reply to enquiries you cannot reach

EzyConn learns your rates, hours and process from your own website, answers while you are coaching, and hands you a consultation request you can confirm in one message.
